This Privacy Policy applies to the APEX Community Pro website and mobile application (collectively, the "Platform") and all related services operated by Apex Infinity Ventures, Inc. ("APEX," "we," "us," or "our"). By using the Platform, you agree to the collection and use of information as described in this policy.

Information We Collect

We collect information necessary to provide commercial property management and maintenance-dispatch services, including:

Account information: name, email address, phone number, job title, and role, provided during registration or invitation
Organization information: legal business/entity name, DBA, state of registration, registration/document number, signer name and title, business address, phone, and website, collected during Organization Verification at signup
Property and unit/space information: addresses, unit numbers, building and area details, occupancy and status information, and property photos
Resident/tenant information: name, phone number, and email, entered by your organization's staff for the purpose of coordinating maintenance and restoration requests — not collected directly from residents unless they opt in to receive status notifications
Access and entry information: gate/entry instructions and access codes or lockbox information, which we treat as highly sensitive and encrypt at rest
Insurance information: insurance company, policy number, and claim number, when a request is marked as an insurance claim, encrypted at rest
Billing information: subscription tier, billing contact, and payment status, processed through our QuickBooks integration for platform subscription fees only — we do not process or store payment for contractor/repair work, which occurs directly between property owners and contractors
Job and request data: maintenance/restoration request details, categories, priority, photos, notes, status history, and associated documents
Contractor/vendor directory information: name, company, trade, contact information, and (where provided) license and insurance details for contractors your organization works with
Login and device information: login timestamps, device/browser type, IP address, and approximate location, for account security purposes
Live location data: when a request is Emergency or Urgent priority, technician location synced from our FieldProIQ platform may be visible to authorized staff, and may be shared temporarily with a resident via a verified tracking link that expires automatically once the technician arrives

How We Use Your Information

We use the information we collect to:

Operate and provide the Community Pro platform and its features
Verify organization identity and signer authority at signup
Coordinate and dispatch maintenance/restoration requests to qualified contractors through our FieldProIQ platform
Enable authorized staff to track live technician status and location for urgent/emergency requests
Process platform subscription billing through QuickBooks
Send notifications about job status, account activity, and platform updates to staff, and to residents who have opted in
Maintain audit trails, permission history, and login history for account security
Generate reports and feed operational data into our APEX Business Intelligence platform for your organization's own reporting
Improve platform performance, security, and user experience
Comply with legal obligations

Data Sharing

We do not sell your personal information. We may share data with:

Contractors and technicians dispatched to a request, limited to the property/unit and job details necessary to complete the work
Service providers who help operate our platform (cloud hosting, payment processing, push notifications, email/SMS delivery)
Law enforcement or regulatory authorities when required by law
Other Master Accounts on the platform, in the limited case of aggregated contractor performance and rating data (job completion rates, response times, ratings) — this reputation data does not include your property, tenant, or resident information, which remains fully isolated to your account

Data Retention

We retain account and property data for as long as your account is active. If you cancel your subscription, your data is retained for 90 days (in case of reactivation) and then permanently deleted. Job records and related documentation may be retained longer — up to 7 years — for compliance, insurance, and legal purposes. You may request deletion of your account by contacting us, subject to these retention requirements.

Security

We use industry-standard security measures including AES-256 encryption, secure HTTPS connections, two-factor authentication, and role-based access controls — including additional restricted permissions for sensitive data such as access codes and insurance information — to protect your data. However, no method of transmission over the internet is 100% secure.

Your Rights

Depending on your location, you may have the right to:

Access the personal data we hold about you
Request correction of inaccurate data
Request deletion of your data, subject to the retention terms above
Object to or restrict certain processing of your data

Children's Privacy

APEX Community Pro is a business-to-business platform intended for use by property management professionals and is not directed at children under 13. We do not knowingly collect data from children under 13.

Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of significant changes via the Platform or email. Continued use of the Platform after changes constitutes acceptance of the updated policy.
